Accountant / Operations Executive
Manage day-to-day financial administration, payroll, and logistics coordination in our Eldoret office.
About the Role
Tokyo Kenya Services Limited is seeking a detail-oriented Accountant/Operations Executive to manage day-to-day financial administration, payroll, and logistics coordination in our Eldoret office. This role suits a candidate who is equally comfortable in the ledgers and on the operations floor.
Key Responsibilities
- Oversee accounts payable, accounts receivable, general ledger, and financial reporting
- Handle daily accounting postings and maintain accurate financial records
- Prepare and reconcile monthly bank reconciliations and control accounts
- Manage accounts payable and receivable; monitor cash flow and ensure timely processing of supplier and customer transactions
- Manage month-end and year-end closing processes and prepare timely management reports
- Prepare and file statutory returns, including PAYE, NSSF, NHIF/SHIF, NITA, VAT, installment tax, and advance tax
- Coordinate with external auditors, tax authorities, and regulatory bodies to facilitate audits and compliance
- Process payroll for 30+ employees, including statutory deductions, leave management, internal loans, and leaver settlements
- Support HR administrative functions, including interview coordination and onboarding
- Manage vendor invoicing, payment follow-ups, and customer accounts to support cash flow
- Oversee daily fuel purchase and sales transactions and related reconciliations
- Coordinate daily logistics between drivers and oil marketers to ensure efficient transport operations
- Maintain company, employee, and fleet documentation, including license applications and renewals
- Support transport contract management, including negotiation of transport rates
- Handle dispute resolution between drivers and customers
- Support budgeting and forecasting processes; provide variance analysis to guide management decision-making
- Oversee depot logistics operations, including transport planning, fleet tracking, and safe, efficient petroleum distribution and import/export logistics
- Coordinate with internal teams, clients, and external partners to strengthen operational delivery and resolve issues promptly
- Develop and monitor key performance indicators (KPIs) to measure progress and drive continuous improvement
Qualifications & Requirements
- Bachelor of Commerce (Accounting/Finance) or related degree
- CPA II/foundation level or ACCA (minimum); progress toward full qualification preferred
- Proficiency in SAP FICO, QuickBooks, Sage, Pastel, and MS Excel (Pivot Tables, VLOOKUP)
- Strong working knowledge of IFRS/GAAP, IAS, IPSAS, and ISA, taxation, and Kenyan statutory compliance requirements
- Minimum 2 years' experience in accounting/operations, ideally within transport or logistics
- Strong written and verbal communication skills; experience working with multicultural teams
- Certifications in First Aid, Defensive Driving, Occupational Health, or Fire Safety an advantage
- Demonstrated leadership ability and experience coordinating cross-functional teams
- Fluency in English and Swahili, both written and spoken
